This policy explains what personal information Sue Carson Saddles USA LLC ("Sue Carson Saddles", "SCS USA", "we", "us") collects when you buy from us, book a saddle fitting, send us a saddle to repair or sell, or contact us by phone, email, text message or through our website — and how we use it, who we share it with and how long we keep it.

What we collect
-
Your contact details — your name, mailing address, telephone numbers and email address, and the address of the barn where your horse is kept.
-
About your horse and saddles — your horse's name, age, breed, height, measurements and back scans, health notes that affect saddle fit, photographs and videos taken at a fitting, and the saddles you own, have bought or sold through us.
-
Appointments and work — fittings, repairs, orders, the paperwork from each visit, signatures you give on it, and the terms you accept.
-
What you say to us — emails, text messages, notes of telephone calls, voicemails and, where a line is set to record, recordings and transcripts of calls. We tell you when a call may be recorded.
-
Payments — what you have paid and owe. Card details are taken by our payment providers and are never stored by us.
-
From our website — what you type into our enquiry, call-back and sell-your-saddle forms, the photographs you upload, and whether you agreed to receive text messages from us (with the date, time and the wording you agreed to).
How we use it
-
To book and carry out fittings, orders, repairs and sales, send you the paperwork and take payment.
-
To answer your enquiries and messages, and keep a record of what was said so that anyone in our team can help you.
-
To remind you about appointments, tell you when your fitter is running late or on the way, and update you on a repair or an order.
-
To keep our accounts and meet our legal and tax obligations.
-
To keep the history of a saddle — who owned it, how it was fitted and repaired, and whether it has been reported stolen — for the safety and provenance of the saddles we make and sell.
We do not sell your personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.
Text messages (SMS)
If you agree on our website or tell us that you are happy to receive text messages, we will text you about your enquiry, appointments, fittings and repairs. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop receiving them, or HELP for help. Agreeing to receive texts is never a condition of buying anything from us.
Your mobile number and your agreement to receive texts are used only to send you those messages and to keep a record of your agreement. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Text messages are delivered through our messaging provider, Twilio, which handles your number only to deliver them.
Who we share it with
Only with the people and services that help us do the work, and only what they need:
-
our saddle fitters and office staff, and the saddler making or repairing your saddle — including our UK company, Sue Carson Saddles Limited, which makes our saddles and runs the systems we use;
-
carriers that collect and deliver saddles;
-
payment providers and our accounting system (Xero);
-
the services that run our systems: Google Workspace (email and documents), cloud hosting and file storage, Twilio (telephone calls and text messages), and Anthropic (summarizing call recordings, with no use of your information to train its models);
-
our accountants, insurers and professional advisers, and anyone the law requires us to share with.
Some of these providers store information outside the United States, including in the United Kingdom.
How long we keep it
-
Accounting and payment records: for as long as the law requires, normally seven years.
-
Your customer record and your horse's and saddles' history: for as long as you are a customer, and afterwards for as long as the saddle's history is useful to its safety and provenance. Ask us and we will remove what we are not obliged to keep.
-
Call recordings and voicemails: deleted automatically after a set period; the note that a call took place stays with your record.
-
Your agreement to receive texts: for as long as we may text you, and for four years after you opt out, as a record of what you agreed to.
Your choices and rights
You may ask us for a copy of the information we hold about you, to correct it or to delete it, and you may withdraw your agreement to receive texts at any time by replying STOP. Email usaoffice@suecarsonsaddles.com or call +1 (561) 220-9043. We will answer within 30 days, and we will not treat you differently for asking.
Children
Our services are for horse owners and riders and are not directed at children under 13. We do not knowingly collect information from children under 13.
Changes
We will update this page when what we do changes, and change the date at the top.
